About the Merchandise Operations Coordinator position

This is a part time contracting position that is fully remote and for candidates located in the US; the successful applicant will be hired into Poseidon's US-based partner company.

Our US partner operation has pioneered the conversion of over 60 US planetariums into pop-up mainstream immersive evening venues, re-imagining what a planetarium can be. Our first two immersive shows Mesmerica and Beautifica are the fastest-selling planetarium shows ever, blowing minds and mending hearts with a potency unique to the immersive medium.

We are looking for a part-time Merchandise Operations Coordinator to join our team, focusing on the efficient management and distribution of venue assets, merchandise, and supplies to ensure smooth venue operations and exceptional customer service.

The Merchandise Operations Coordinator will play a key role in managing venue assets and ensuring the efficient and accurate movement of inventory and supplies between warehouses and venues. This position requires excellent organizational skills, attention to detail, and the ability to communicate effectively with venue contacts, suppliers, and internal teams. The ideal candidate will have experience in retail, events, or logistics coordination.

Schedule: 20 hours a week with flexibility (4 days a week at 5 hours per day or 3 days a week at 6.5 hours preferred)

Key Responsibilities

Venue Asset Management:

  • Source, order, and maintain venue assets for all venues, ensuring the warehouse is adequately stocked for upcoming openings.
  • Check Venue Asset Inventory form responses weekly to determine what needs to be ordered from Amazon or shipped out from the warehouse.
  • Organize and distribute sign packages to venues that require them.
  • Setup product pages in Shopify

Inventory Transfers and Coordination

  • Build and edit transfers from the warehouse to venues, especially for new venue launches where assets may come from closing venues in Shopify.
  • Communicate shipment arrival dates, contents, and any updates to venue contacts and primary stakeholders.
  • Oversee venue closings by coordinating with representatives, providing necessary transfer information, scheduling with venue contacts, and facilitating FedEx pickups.

Customer Service Support

  • Handle customer returns and refunds for online orders, ensuring a smooth process for both the customer and the company.
  • Fulfill customer service requests from guests who could not pick up their orders in venues.
  • Ensure venues where guests could not pick up their orders are properly stocked.
  • Handle customer returns and refunds for online orders, ensuring a smooth process for both the customer and the company.

Purchase Orders and Transfers Management

  • Create, receive and edit transfers and purchase orders (POs) upon delivery verification, tracking down any issues that arise.

Qualifications:

  • Proven experience in merchandising operations, logistics, or inventory management.
  • Strong organizational skills and attention to detail.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Excellent communication skills and the ability to work cross-functionally.
  • Proficient in Microsoft Office Suite.
  • Experience with supply chain coordination or retail operations is a plus.
  • Experience with Shopify is a plus.
  • Must have laptop or computer
